Gift and Records Management

 

Gift agreements ensure that the donor, the appropriate affiliated foundation and the university are in agreement over the terms of the gift. They enable clear communications and record keeping on purpose, payment schedule, recognition, investment policies and disbursements.

 Drafts should be shared internally before they are shared with the donor. Executed gift agreements are found in RADAR under the Documentation tab of the fund’s purpose record in and the Documentation tab of any relevant gifts or pledges.

 The terms of a gift agreement may be modified with the permission of the original donor who signed the gift agreement, or another person who is designated within the gift agreement. It is always advisable to consult with the descendants of the original donor; however, descendants are not able to modify a gift agreement. If there are no living donors to a fund and VCU wishes to change the terms, VCU must follow Virginia’s enactment of UPMIFA regarding the release or modification of restrictions on management, investment or purpose.
